Designing an ID Badging Solution

In order to determine the best desktop ID Card Solution for your needs, consider more than cost.  In a ‘perfect world’, the design of your ID Badging Solution would account for every eventuality or future change, we know that world seldom exists.

The basic fundamentals of an ID Badging Solution primarily consist of three general components – printer, software and digital camera.  This provides the ability to identify users, privileges and automate processes within your organization.

To ensure your ID Badging Solution will grow with your organizational needs, it is important to ask the following questions during the design process.

  1. How do you want the card to look single or dual-sided, oversized or credit card size, monochrome or full color?
    PVC card printers are available in a variety of configurations and with advancements in technology.  Many manufactures are looking at your future needs by offering field-upgradeable modules.
  1. How long to you want the card to last – 1-3 years or 3 or more years?
    Standard PVC cards are made of 100% PVC and have an average lifespan of 12-18 months.  A composite PVC card, composed of 60%PVC/40% Polyester, will increase the average lifespan to 24 months.
  1. How long to you want the printer to last?
    Keep in mind that the average lifespan of a printer is generally five years.  Producing a large volume of cards on an entry level printer will decrease the unit’s lifespan.
  1. Will you need to assign different levels of security clearance?
    This is an important way of maintaining pertinent data on employees who may have ill intent.  ID badging software applications come in many different flavors.  Entry-level applications have a single sign-on level, whereas enterprise applications allow specific user settings.  This allows access to only pertinent data specific to their task.  A user with administrative rights can also generate a variety of reports to create internal audits.
  1. How many card types do you use/issue photo ID, payroll/attendance, parking, access, membership, loyalty/gift cards, info cards, meal/cafeteria, vending, others?
    Instead of issuing two (or more) cards, combine the cards you use every day into one multi-technology card, reducing overall operational costs.
  1. What type of technology/technologies do you need – Barcode, magnetic stripe, proximity, smart card, RFID, etc.?
    Take into account all systems utilized on a daily basis such as access control, payroll, cafeteria, etc. and plan to reduce multiple steps.  By being proactive and taking into account all the needs of your organization, you reap cost and time saving benefits by reducing data entry or redundancies simply by integrating your multiple systems.

 

  1. Will you need to badge multiple locations?
    Depending on your specific requirements you may need a networkable version of ID badging software, or software that will allow you to do more than simply badge, such as track and ID visitors.  It is recommended that you speak to a reputable solution provider to discuss your application in-depth for the best recommendation and/or direction.
  1. Will you require a mobile system to track and verify identity?
    Due to the nature of the workplace, it is increasingly common to need access to software or activity outside your four walls.  If this is something your organization would benefit from, it is highly recommended that you speak to an ID Consultant to discuss your needs more in depth.

5 Ways to Stop Second Guessing Yourself

Implementing a new badging, tracking or verification solution comes with some inherent risks.  If you stack the odds in your favor however, the desired successful outcome is within reach.

Follow these five steps to guarantee success:

  1. Clearly define your desired goals.
    Having a concise, reachable end goal provides you with a focus.   Identify exactly what the desired outcome needs to be as well as the motivation for moving this way.  This will provide you with the insight you need to begin exploring what solution is best.
  2. Think ahead.
    Technology improves daily, so when thinking of the future, ask yourself:- How may things be different five years from now?
    – How may my goals change?
    – Can I address or streamline any other cumbersome processes?By thinking to the future and beyond your present goals, you begin to realize the possibilities a new solution may provide.  As your organization evolves with the changing times you will see the benefits of future planning.
  3. Have enough information.
    Get the facts before you make a complex decision, including a general understanding of how it will affect the end result.  You may need to create a pro and con list based on what you think is necessary versus what your current budget allows.
  4. Make sure all the players are included.
    Not only are you going to be impacted, but others will be as well.  To ensure success, make sure you work with the departments that will be affected.  Also included those who will be part of the implementation, such as security, information technology (IT), human resources, the individual tasked with running the solution, etc.  By brainstorming and including these individuals in discussions, you will be privy to a different perspective of what is deemed important at each level.  IT maybe concerned with the integration portion, while the end user will want it be intuitive, as to not discourage use, etc.
  5. Partner with those who know.
    You are an expert at your job.  Let the solution providers you currently work with partner with you on your initiative and draw on their expertise on badging, tracking and verification.  They have the understanding and experience of working with other clients like yourself and can recommend a solution that will address your needs so you can take comfort in the fact that the solution you implement will achieve your desired goals.

If it’s broke, sometimes you can fix it!

The three most common PVC card errors that occur are generally easily fixed, and can be done by you!

Error One:  Ribbon Break Error

Solution: Remove the printer ribbon/cartridge from the printer and repair the torn ribbon by using scotch tape to affix the torn ends of the ribbon together.  After taping, wind any excess onto the take-up spool of the ribbon and reinsert into the printer.  Send the print job down again.

If the problem persists, some printer models have a ribbon sensor calibration command that can be performed through the printer driver.  Review your user manual to perform the necessary steps.  A thorough printer cleaning may be necessary as well and cleaning kits are available per specific make and model.

Error Two:  Card Jam Error

Solution: Check the card quality and loading by removing the cards from the card hopper. Make sure that the cards are not sticking together by fanning them out and then lining them back together in a straight deck.  After fanning the cards, reload them into the card hopper and select the resume button or print again.

If the cards continue not to feed, cancel the pending prints through the printer driver and consult your user manual for the next trouble shooting steps.  Sometimes turning the printer off and restarting can also solve this issue.  In addition, a thorough printer cleaning may be necessary as well and cleaning kits are available per specific make and model.

Error Three:  Card Jam/Multiple Cards Fed Error

Solution: Double-check your user manual to make sure that the card thickness you are utilizing is supported in your unit.  Depending on the unit, accepted card thickness may only be 30 mil while other units accept 9-40 mil thick cards.  Be sure to only utilize card stock that is supported.

After ensuring that the card stock you use is acceptable, check the card quality and loading by removing the cards from the card hopper.  Make sure that the cards are not sticking together by fanning them out and then lining them back together in a straight deck.   Do not touch the printing surface – hold cards by the sides.  After fanning the cards, reload them into the card hopper and select the resume button or print again.

If the cards continue not to feed, cancel the pending prints through the printer driver and consult your user manual for the next trouble shooting steps.  Sometimes turning the printer off and restarting can also solve this issue.  In addition, a thorough printer cleaning may be necessary as well and cleaning kits are available per specific make and model.
